EFFECTIVE 14 OCTOBER 2026
Terms of service
These terms apply when a business or its authorised users access The SOP Hub. By ticking the agreement checkbox, you agree to them, including the Customer Data Processing Addendum.
1. About us
The SOP Hub is operated by THE SOP HUB LTD, registered in England and Wales with company number 17519712. Our registered office is Office 53C, Unimix House, Abbey Road, London, NW10 7TR, United Kingdom. Contact us at hello@thesophub.com.
2. Business accounts
The Customer Data Processing Addendum forms part of these Terms for personal data processed on your business’s behalf. Agreement version: 2026-10-18-dpa-1.5.
The service is intended for business use. The person creating a workspace confirms that they are authorised to act for that business. Account owners are responsible for their users, keeping login details secure and ensuring workspace content is lawful and appropriate.
3. The service and AI assistance
The SOP Hub helps businesses create, approve, store, assign and follow procedures. AI-generated content is a drafting aid. It may be incomplete or inaccurate and must be reviewed by a suitable person before approval or use. It is not legal, safety, HR, medical, financial or regulatory advice.
4. Acceptable use
You must not use the service unlawfully, interfere with its security, access another customer's data, introduce malicious code, abuse invitations or upload content you have no right to use. You must tell us promptly if you suspect unauthorised access.
5. Trial, subscription and payment
Eligible new customers may start a seven-day free trial by adding a valid payment method. Unless cancelled before the trial ends, the selected monthly subscription begins automatically and Stripe charges the payment method on file. Subscriptions renew monthly until cancelled. Current prices, included limits and any applicable taxes are shown at checkout.
Plan limits apply to SOPs, users and AI drafts. We may restrict new activity when a limit is reached or a payment is overdue. You can manage your subscription through Billing in your account.
6. Cancellation and refunds
Cancel during the free trial to avoid the first subscription charge. If you cancel a paid plan, access continues until the end of the current paid billing period and the plan will not renew. Monthly fees already paid are normally non-refundable, except where required by law or where we agree a refund for a billing error or material service failure. Contact us promptly if you believe a charge is incorrect.
7. Your content
You retain ownership of content you add to your workspace. You give us permission to host, process and transmit it only as needed to provide, secure and support the service. You are responsible for having the rights and permissions needed for personal information and other content you upload. Account owners can export workspace records from Account settings.
8. Our intellectual property
The platform, branding, software and service materials belong to us or our licensors. Your subscription gives you a limited, non-transferable right to use the service for your business while your account is active.
9. Availability and support
We aim to keep the service available and secure, but maintenance, provider failures and events outside our reasonable control may cause interruptions. Unless we expressly agree otherwise, we do not promise uninterrupted availability or a particular service level. Support is available through the contact page and the email address above.
10. Liability
Nothing in these terms excludes liability that cannot legally be excluded, including liability for fraud or fraudulent misrepresentation, or death or personal injury caused by negligence. Subject to that, we are not liable for indirect or consequential loss, loss of profit, revenue, goodwill or anticipated savings. Our total liability arising from the service is limited to the subscription fees paid by you in the 12 months before the event giving rise to the claim.
11. Suspension and termination
We may suspend or end access for serious or repeated breach, security risk, unlawful use or unpaid fees. Where reasonable, we will give notice and an opportunity to fix the issue. You remain responsible for exporting any records you need before access ends.
12. Governing law and changes
These terms are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction. We may update these terms for legal, security or service changes. We will give reasonable notice of material changes where appropriate.
