HOW THE SOP HUB WORKS
Your workspace.
Start where you need it.
Create a procedure, organise daily work or start with your business documents. You do not need to create an SOP before using the other tools.
01
Find your way around
Explore first. Choose the part of the workspace that helps you today—creating an SOP is optional.
Show the steps
- 1.
Open your overview
After account setup and checkout, choose Explore my workspace to look around, or Create your first SOP when you are ready.
- 2.
Jump to a section
Use Go to a section for the grouped menu. On a phone, swipe the tabs across; on a larger screen, use the left-hand menu. Daily work, SOPs & documents, and Team & communication keep related tools together.
- 3.
Keep help within reach
Select Help at the top of the workspace for instructions and support. The getting-started checklist is optional: skip a step, dismiss it, or reopen it from Help. What you can access depends on your role and plan.
02
Create and manage SOPs
Explain a repeated task, review the draft, and put approved instructions into practice.
Show the steps
- 1.
Tell us about your business
Choose your industry and add business details during setup. Departments and the first process can be left until later; you can explore before documenting anything.
- 2.
Explain it in your own words
Open SOP library and choose Create SOP. Type or dictate rough notes, or choose a starting template. Replace template prompts with your own details and answer focused questions about missing information.
- 3.
Make it yours
Review the draft, edit the wording and confirm your business rules. Check any points flagged for review. Save the draft, then approve and publish it when the instructions are ready.
- 4.
Put it to work
Assign the published SOP as a checklist. Later edits can be reviewed as a new draft; existing checklist runs keep the version they started with.
03
Organise daily work
Use tasks, assignments, checklists and your calendar to move from instructions to action.
Show the steps
- 1.
Start with Today
Open Today to see current work and updates. Use Add task for a personal task; the available scheduling and assignment options depend on your role and plan. A standalone task does not require an SOP.
- 2.
Plan ahead
Open Calendar to review scheduled work and add a task for a future date. Include supporting documents where relevant. Recurring schedules are available on every plan.
- 3.
Assign an approved checklist
In Assignments, choose a published SOP, select a team member (or yourself), add an optional due date and note, then choose Assign checklist.
- 4.
Record progress and time
Start your assigned task or checklist. Follow the steps, add requested notes or evidence, and record completion or explain what is blocked. Use Pause and Resume where timer controls are available; Time tracking shows recorded time within your access and plan.
- 5.
Review the outcome
Use Today for progress and items awaiting verification. Open Recent activity for a paginated history with date filters, or Analytics for the reports included in your plan.
04
Create and manage documents
Start from a Business Hub template or upload an existing file. You do not need an SOP first.
Show the steps
- 1.
Choose a template or upload a file
Open Business Hub. Choose Create from template, search or filter the catalogue, and select a document or spreadsheet template. Alternatively, choose Upload document to add an existing supported file up to 10 MB.
- 2.
Set the document details
Give it a clear title, choose its category and owner, and select who can access it from the options available to you. For an upload, choose your file and select Save document. For a template, confirm its details and create it before editing.
- 3.
Edit and save your work
Fill in the template’s fields, sections or spreadsheet cells in your browser and save the changes. Replace example prompts with your own information. Use the available export options when you need a copy outside the workspace.
- 4.
Add dates and reminders
Open the document’s details to add review or expiry dates. If renewal is needed, enable Renewal required and set its date. Choose reminder timings and recipients, check access permissions, then Save changes. Only document owners and permitted editors can change these details.
- 5.
Find, update and connect documents
Use search, categories, folders and status filters to find documents. Upload a new version to the same record when updating a file. External Word or Excel edits do not sync automatically: upload the edited file back using the appropriate version or import control. Where available, link the document to related work; a link does not override its sharing permissions.
05
Work with your team
Give colleagues their own access, keep conversations connected, and make responsibilities clear.
Show the steps
- 1.
Invite a colleague
Open Your team, enter your colleague’s email and choose the appropriate role. Check your included seats; if you need more, confirm paid additional users before inviting them. Colleagues open their invitation and sign in with the same email.
- 2.
Give the work a clear home
Publish one procedure and assign its checklist, or schedule a task with a clear owner and due date. Check that colleagues can access any supporting documents.
- 3.
Keep conversations together
Open Team chat to use the channels available to you, share work updates and attach relevant files. Keep confidential documents limited to the appropriate audience.
- 4.
Find meetings and support
Use Meetings in Calendar or Team chat to schedule a meeting with an external HTTPS join link. Calling happens in that external service, not inside The SOP Hub. For technical help, use Help or contact support; we aim to respond within 72 hours.
Every plan includes all features, with different usage allowances. Your role and permissions determine which team records and controls you can access. Inside the workspace, select Help for these instructions with links straight to the tools.
